What is Office 365? It is a cloud based collaboration suite that will allow staff access to email, instant messaging, web and video conferencing, white boarding, and much more.
What Office 365 services will be initially deploying? We will initially deploy:
When will this happen? We are currently estimating an end of year timeline, since we are waiting for final approval from Microsoft for our free Office 365 email accounts. However, it is important to note that this could happen as early as mid-November, so please prepare accordingly.
How can I prepare for Office 365? The Department of Information Technology recommends that, by mid-November staff who have been using their Lakeland e-mail account to register for various online services (such as listservs, newsgroups, cloud storage, etc.) start transitioning to their equivalent Herrick email account. For example, if Jane Doe is using holjd@llcoop.org to register for a Dropbox account or a Michlib Listserv, she would need to log into both of those online services and change the email address used to register for this service from holjd@llcoop.org to holjd@herrickdl.org.
What will the impact be if I don’t prepare for Office 365? If you do not make these changes prior to us migrating to Office 365, you may not be able to logon, change your email address, and/or receive email from online service websites where you are using a Lakeland based e-mail address.
What if I can’t change my email address with an online service? It is important to note that not all online services will allow you to change your email address if you used it as your login - Michlib may be one of these. If you find you have registered for a service that will not allow you to change your email address or login name (assuming you're using your email address as your login name), then you may be required to sign up for the online service a second time using your @herrickdl.org based email address. The impact of this would be that you would receive duplicate e-mails from this online service until we migrate to Office 365 AND we terminate email service with Lakeland.
Do I have a @herrickdl.org email address I can use? If you have a Lakeland email address, then you have an equivalent @herrickdl.org address. For example, if you have been assigned the Lakeland email address of holjd@llcoop.org, you would also have access to holjd@herrickdl.org. Likewise, if you have access to an address like jdoe@llcoop.org, you would also have access to jdoe@herrickdl.org.
What if I don't have a Lakeland email account? We will provide you with an Office 365 Account.
Will there be an Office 365 formal training opportunity? Yes. Three (3) training classes will be scheduled in the weeks to come, so that staff have an opportunity to learn how to best utilize Office 365. Additional information will be provided in the near future.
What will you support for migration? We will be migrating the following account types:
If you are obtaining access to your Lakeland provided email by means of another computer client or web service, we will make a best effort attempt to migrate your account data, but depending on the extent of effort, you may have to wait until after our initial migration deployment.
Why do you need our email account login name and password? I.T. may be requesting your current email account login name and password information, this information is needed in order for us to migrate information/data from your current email account to your new Office 365 email account.
Please be aware that the I.T. Department will handle end user login names and passwords as confidential and they will only be used for the Office Migration process.
Is it mandated that I give I.T. my email account login name and password? You are not required to give us this information. However, I.T. will not be able to migrate your account information/data without this information. One suggestion, if you are using a password you would prefer not to give out, is to change your password to a temporary password that you can change back after the Office 365 migration has been completed AND your Lakeland email account has been terminated.
Will you migrate my personal email account to Office 365? No. We will only be migrating those clients and email web based accounts that are used to access Lakeland based email.
How will I.T. be able to distinguish between my personal and work based email? We can not determine the difference between work and personal email within an account that is used to acquire Lakeland email. Therefore, we will be migrating all content in existing email accounts that staff have identified as having Lakeland based email content. Each staff member will be allowed to migrate one existing email account that is receiving Lakeland based email.
How will you migrate from Lakeland/Gmail accounts to Office 365? I.T. will be using a server side software tool that will allow us to sync between your currently existing e-mail account and your new Office 365 account. Once everyone has been 'synced' and is using Outlook 365, we will then terminate Lakeland accounts.
For Gmail and other web based email accounts that are being used to obtain access to Lakeland delivered email messages, we will also migrate your Gmail account data if desired and we will not terminate these accounts.
Will I be able to maintain my email sub-folders? If you have email sub-folders our migration process will keep these in tact for Gmail and Outlook users. Lakeland currently does not support sub-folders.
What will not migrate over to Office 365? The main element that will not migrate from an existing email account to an Office 365 account is rules. If you have rules set up to automatically process email messages, you will need to re-create these within your Office 365 account.
How will you migrate users that are using a Microsoft client (e.g. Outlook, Outlook Express and Windows Live Mail)? I.T. will be working with staff that use Outlook. We will migrate all of your e-mail from Outlook to Office 365. When complete, your email structure and content will look very similar to your client, including email directories and content, calendars, contacts and tasks, etc.
What email addresses will I be able to use once we migrate to Office 365 AND Lakeland accounts are terminated? We will carry over your currently existing @herrickdl.org email addresses. We will also be adding a few additional industry standard e-mail addresses (a.k.a. aliases) once all users have been migrated AND all Lakeland accounts have been terminated. The end result after migration will allow users to use anyone of the following email addresses:
